Job Description
Whole Woman’s Health is seeking a highly detail-oriented and organized individual to provide accounts payable and accounting support to the organization. The Accounts Payable Specialist works directly with the accounting and operations teams, providing accounting support to multiple locations and our non-profit entity. Responsibilities include performing all AP functions that focus on maintaining and controlling the flow and data entry of invoices, credit card reconciliations, and transactions of the organization’s various entities. This will include reconciling vendor accounts, inter-company correspondence and communication regarding payables, processing invoices and credits for multiple entities, and coordinating with the accounting team on payables. The position will assist in other accounting functions as needed.

This individual works directly with the Staff Accountant, the Director of Accounting & Operations, the Accounting and Operations team, and the internal and external customers to provide support in the accounting department and overall business operations of the companies and their respective offices. This position will be based in Austin, TX and will support several locations/clinics/offices throughout the country.

This is an excellent opportunity for an accounting student finishing CPA required course work or a recent grad.

Duties & Responsibilities will include:
* Sorting, reviewing and properly forwarding invoices to approving internal parties.
* Prepare and record the submission of credit card reconciliations.
* Review expense coding to ensure internal and GAAP compliance.
* Organizing AP files with invoices in various states of payment for 8+ entities.
* Maintain and report on accounts payable as required.
* Perform the processing of benefits expense allocations, regular multi-entity payments, and online and over the phone payments as necessary.
* Prepare and review payments for check printing. Coordinate with the team on check printing processes.
* Occasionally print, obtain signatures, and distribute payments as required.
* Review and reconcile vendor statements and report on balances or vendor related issues.
* Ensure all payees have a W-9 on file.
* Assist in the preparation of end of month procedures as needed.
* Be responsible for processing, reporting and record keeping of patient refunds.
* Cross train in all other areas of accounting and operations support to assist as needed on month end close, special projects, or data compilations.
* General office and administrative duties such as research, filing, troubleshooting and assisting with special projects as necessary.

Job Requirements

General Requirements
* Associate degree or higher preferred
* Minimum 4 years’ experience in high volume accounting (non-profit a plus)
* Proficient in Excel
* Experience with SAGE (Abila) or similar advanced accounting software
* Experience in bookkeeping and data entry
* Familiarity with general ledger activities, journal entries, and allocating costs
* Strong organizational abilities, attention to detail, and consistent accuracy
* Experienced in handling sensitive and confidential information
* Excellent communication skills, both written and oral
* Quick study (fast paced environment)

This position works directly with a variety of operations, marketing, executive and development teams at local and remote locations. To perform the job successfully, an individual should demonstrate the following competencies to perform the essential functions of this position.

Accounting Skills – the individual has a working knowledge of full cycle accounting incorporating software, reporting, and document tracking.
Technological Skills – the individual is more than comfortable working with accounting software such as Sage (Abila) or similar advanced systems. Excel proficiency is a must; wiz preferred.
Organizational Skills – the individual will be responsible for organizing and maintaining accurate accounting records including invoices and grants.
Problem Solving — the individual will be responsible for identifying and resolving problems in a timely manner. Must be able to gather and analyze information skillfully.
Interpersonal Skills — the individual maintains confidentiality, remains open to others’ ideas and exhibits willingness to try new things.
Communication — the individual speaks clearly and persuasively in positive or negative situations, demonstrates group presentation skills and conducts meetings as necessary. Excellent writing and interaction skills are required.
